Job Summary
The Executive Assistant provides high-level administrative, coordination, and operational oversight to support the Founding Partner. This role requires strong organisational ability, exceptional communication skills, and the capacity to oversee cross-functional activities. The Executive Assistant will manage the Founding Partner’s schedules, coordinate meetings, track organisational initiatives, and ensure follow-through on key priorities. The ideal candidate is proactive, detail-oriented, and able to oversee multiple moving parts while maintaining confidentiality and professionalism.
Key Responsibilities
1. Executive Partnership and Support
- Serve as the primary point of contact for the Founding Partner, managing a dynamic calendar, complex travel arrangements, and high-stakes scheduling with a focus on efficiency and stakeholder experience.
- Prepare and synthesise high-quality briefs, presentations, and research materials to support mission-driven decision-making and advocacy efforts.
- Handle sensitive and confidential information with the utmost discretion, integrity, and professionalism.
- Proactively track deliverables, deadlines, and action items, ensuring the Founding Partner is fully prepared and ahead of key commitments.
- Act as a trusted liaison between the Founding Partner and internal teams, external partners, and key stakeholders.
2. Operational Coordination & Project Oversight
- Align cross-functional team activities with the Founding Partner’s strategic priorities, ensuring clarity and cohesion across the organization.
- Monitor progress on strategic initiatives and key projects, providing regular updates and flagging risks or bottlenecks early.
- Oversee the preparation of meeting materials, project trackers, and performance reports to maintain visibility and accountability.
- Facilitate smooth information flow between the Founding Partner and teams, ensuring follow-through and timely escalation when needed.
- Support the planning and execution of organisational programs, stakeholder engagements, and internal events.
- Meeting & Communication Management
- Organise and coordinate internal and external meetings, ensuring all logistical, technical, and content-related needs are met.
- Develop detailed agendas, document clear action items, and drive timely follow-up to ensure accountability and consistent standards of excellence.
- Draft, review, and refine internal and external communications on behalf of the Founding Partner, maintaining a professional and aligned voice.
- Administrative & Operational Efficiency
- Maintain a highly organised digital filing system, ensuring accuracy and ease of access for critical documents.
- Manage the Founding Partner’s expense tracking, reimbursements, and support budget monitoring efforts.
- Conduct research, compile data, and prepare briefing documents to enable informed, evidence-driven decisions.
- Support office administrative processes and contribute to a smooth operational environment.
- Strategic & Process Improvement
- Assist in the planning, execution, and monitoring of strategic organisational initiatives.
- Identify workflow inefficiencies and recommend practical solutions to enhance productivity and operational flow.
- Support decision-making by providing research, analysis, and actionable insights.
Quality Assurance:
Contribute to maintaining excellence and high-quality standards in project deliverables. Perform thorough quality checks on documents and materials to ensure accuracy, consistency, and adherence to internal standards and client requirements. Ensure workplans are developed, implemented, and consistently adhered to, to support the effective delivery of your roles and responsibilities.
Cross-Functional Collaboration:
Collaborate with various teams within the Organisations, including data analysis, research, and client engagement teams, to ensure effective project implementation including outside AMR as required.
Continuous Improvement:
Proactively identify opportunities to improve project processes, tools, and efficiency. Suggest innovative ideas and best practices to enhance project management capabilities.
Innovation and Business Development:
Assist in identifying innovations and improvement opportunities to build the Organisations, including business performance tracking.
Education & Experience
- Bachelor’s degree in Business Administration, Office Management, or related field.
- 3-5 years’ experience as an Executive support or coordination/operations role.
- Experience supporting executive leadership in healthcare, consulting, development, or quality management is an added advantage.
Technical Skills
- Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) and zoom.
- Strong tasks and project management capabilities are important.
- Ability to manage calendars, workflows, and documentation tools.

Working Conditions:
This position is remote/office/field based as deemed fit by management.
Standard office hours apply, but there may be a need for flexibility based on project demands and as agreed with management. The role requires regular collaboration with team members, clients, and stakeholders.
